1. Purpose
ZaaRENT is used to manage sensitive property operations — tenant identities, rent balances, M-Pesa activity, staff assignments, and internal reports. This Confidentiality Notice explains our commitments to customers, authorized users, and data subjects whose information appears in the system.
2. What we treat as confidential
Confidential information includes, without limitation:
- Tenant and staff personal data (names, phones, ID references, tenancy terms);
- Financial records (rent amounts, receipts, arrears, expenses, salary payments);
- Building layouts, occupancy, and operational notes not published as public listings;
- M-Pesa and SMS configuration credentials supplied by your organization;
- Non-public vacancy promotions, drafts, and platform review materials;
- Any information marked confidential or that a reasonable person would treat as confidential.
Information you publish to the public listings catalog after approval is no longer confidential as to the fields displayed to visitors.
3. Our obligations as platform operator
ZaaRENT Limited agrees to:
- Restrict access to production data to authorized personnel who need it for support, security, or legal compliance, bound by confidentiality duties;
- Maintain logical separation between customer organizations so one landlord’s data is not exposed to another’s users except where you explicitly share access (e.g. platform administrators);
- Use encryption in transit and industry-standard controls on servers and databases;
- Not disclose customer confidential information to third parties except as described in our Privacy Policy or with your instruction or legal requirement;
- Notify account owners without undue delay if we become aware of a breach likely to affect your confidential data, together with steps we are taking to mitigate harm.
4. Your obligations as a customer
Organizations using ZaaRENT must:
- Issue credentials only to trusted staff and revoke access when roles change;
- Upload tenant and financial data only where you have a lawful basis and, where required, inform tenants how their data is used;
- Protect login details and devices used to access the dashboard, especially for landlord and manager roles;
- Not attempt to access another organization’s buildings, units, or reports without authorization;
- Report suspected unauthorized access or data leaks to support@zaarent.com promptly.
5. Role-based access inside your organization
The product enforces roles (landlord, property manager, caretaker, tenant, platform staff) so users see only what their job requires. You are responsible for assigning roles correctly. Platform support staff may access data only for troubleshooting with your permission or where necessary for security incidents and service continuity.
6. Subprocessors and integrations
When you enable M-Pesa, SMS, or hosting integrations, limited confidential data flows to those providers to perform the service. We select vendors with appropriate security practices and contract confidentiality where feasible. A list of major subprocessors is available on request to enterprise customers.
7. Duration
Confidentiality obligations survive termination of your subscription for as long as we retain data in backups or as required by law. Upon verified account closure, we will delete or anonymize customer-controlled data according to our retention schedule, subject to legal holds.
8. No legal advice
Templates in ZaaRENT (for example tenancy agreement drafts) are provided for convenience only. They do not constitute legal advice. Obtain qualified counsel in Kenya or your jurisdiction before relying on generated documents.
9. Governing law
This notice is governed by the laws of the Republic of Kenya, without prejudice to mandatory consumer or data-protection rights in your country of residence.
